Summary
We are seeking an Operations Analyst to join our dynamic team at Millennium Circuits Limited in Harrisburg, PA. In this role, you will play a vital part in analyzing operational processes and implementing improvements that enhance efficiency and drive growth within our organization.
Responsible for managing the full process of PCB, Assembly, and Stencil orders—from initial order review and validation, through ongoing order monitoring, to final coordination of shipping.

Essential Functions & Responsibilities
- Order Review & Validation
- Reviews and verifies all order types, ensuring that all files, purchase orders, pricing, and lead times align with the original quote.
- Assesses whether repeat orders should be fulfilled by a different vendor and confirms current factory pricing.
- Analyzes emails and documentation for critical details and gathers all relevant files before validating that specifications and panel designs match quoted requirements.
- Identifies and deactivates outdated file revisions to ensure only current versions are used.
- Confirms that vendor quotes match required specifications and flags discrepancies when necessary.
Order Processing & Coordination
- Maintains up-to-date knowledge of customer preferences, order history, and specific requirements to ensure consistency and accuracy in order handling.
- Calculates vendor pricing and evaluates margins to ensure orders meet profitability targets.
- Determines estimated shipping times and dock dates based on vendor lead times and customer locations.
- Assesses incoming orders by reviewing emails, validating files and purchase orders
- Drafts and sends detailed emails for all order types, forwarding them to the appropriate vendor for placement.
- Sends order confirmations to customers when needed and tracks responses for documentation and follow-up.
Customer & Vendor Communication
- Follow up with vendors to assess production timeline and ensure alignment with delivery expectations.
- Communicates any necessary shipment date or method changes to customers and ensures alignment with expectations.
- Regularly updates vendor pricing records, correcting outdated or inaccurate information as needed.
ERP & Administrative Functions
- Inputs sales orders into the ERP system, verifies revenue amounts, and marks related opportunities as “WON.”
- Reviews and processes order cancellations by verifying details, calculating applicable scrap fees, and updating records to reflect adjustments accurately.
- Updates internal documents and records to reflect any changes made to the build specifications during the EQ (Engineering Question) process and any applicable price changes.
Shipment Coordination
- Collaborates with vendors to coordinate outgoing shipments, ensuring products are packaged, labeled, and shipped accurately according to order specifications.
- Provides packing slips to applicable vendors to support documentation, and timely shipment of orders.
- Verifies shipping documentation (e.g., packing slips, labels, tracking numbers) aligns with customer requirements and internal records.
- Ensures all physical shipments depart on schedule and notify customers of tracking information when applicable.

Education & Experience Requirements
The minimum level of education and/or experience required to satisfactorily perform this position is an Associate’s Degree and/or 1-2 years related experience.
